Under the patronage of the Dean of the College of Science for Women,Professor Dr. Sameera Naji Khdim, the Department of Physics, in cooperation with the Continuing Education Unit at our college, organized a workshop titled “Tasks of Examination Committees During Final Exams.” The session was presented by Dr. Noor Yassoub Abdul-Khadhur and was attended by a number of faculty members and members of the examination committees within the department.

At the outset, Dr. Noor outlined the essential duties of the examination committee, emphasizing its critical role as one of the most important committees formed within colleges and institutes. The committee is responsible for managing examinations and documenting the outcomes of the educational process. Its work reflects the level of administrative organization within the academic institution and must be characterized by strict confidentiality, high accuracy, and quality performance. The work of this committee serves as a key indicator in assessing the educational outcomes and documenting the achievements of the primary stakeholders — the students — while safeguarding their rights.

The committee’s responsibilities are centered around three main pillars:

-Handling and Securing Examination Questions: This includes ensuring the confidentiality of the preparation, printing, and storage of exam questions.

-Managing and Recording Grades: This involves documenting students’ grades in the examination booklets and in the master sheet.

-Result-Related Procedures: This covers announcing the results, handling student objections, and auditing.

During the workshop, the structure of the examination committees was explained, noting that they are formed at the beginning of each academic year by the College Council upon the Dean’s recommendation and are categorized into three levels:

-Central Examination Committee: This committee is responsible for overseeing the overall management of examinations across the college. The Registrar is a member of this committee.

-Sub-Examination Committees: These operate at the department, branch, or academic level and are responsible for maintaining the master sheet, which includes recording all student grades and data, preparing examination reports, and calculating grade averages according to the official regulations.

-Audit Committees: These are responsible for auditing examination records and ensuring their integrity in accordance with examination regulations and the directives issued by the Ministry, the University Council, and the College Council.
